PM Schedules

Overview of the PM Schedules Module

You use the PM Schedules module to add, view, and edit periodic, recurring maintenance tasks. Preventive maintenance can be everything from replacing filters and reading meters to shoveling snow and inspecting fire extinguishers.

The PM Schedules module consists of two main areas:

  1. The PM Schedules List Screen.
  2. The PM Schedules Detail Screen.
    • The PM Schedules Detail Screen is divided into eight tabs.
    • Each PM Schedule detail tab is a screen that displays a specific type of information.
    • See the PM Schedules Module chart below.

About The PM Schedule List Screen

You use the PM Schedule List screen to view and edit a Found Set of PM Schedules.

Note that the records displayed on the List Screen are referred to as the Found Set.

  • When you use filters to change the records displayed on the screen, you change the Found Set
  • Filters do not delete any work orders or any other data.

The default Found Set for the PM Schedule List screen is Active PM Schedules sorted by the PM # column

Tools to Search and Filter Data

There are multiple tools on the List screen to search and filter the Found Set so that you can view exactly the PM Schedules you need to.

Find records using:

  1. The Global Search Field
  2. The Filters Window
  3. Saved Filters
  4. Constrain-by

Things You Can Do on the Actions Menu

  1. Go to Master Procedures
  2. Go to PM Calendar
  3. Print the PM Forecast Report
  4. Create Work Orders from Found Set
  5. Print the PM Schedules List Report
  6. Duplicate a PM Schedule
  7. Delete PM

Things You Can Do on the PM Schedule Overview Tab

You use the Overview screen to view and edit basic information about the preventive maintenance schedule.

  • Note that the Priority setting in the General section sets the default priority for every work order created by this PM Schedule.
  1. Create a New PM Schedule
  2. Change the PM Number

Things You Can Do on PM Schedule Scheduling Tab

You use the Scheduling screen to view and edit the parameters of the interval that determines when PM work orders will be created.

  1. Create a New PM Schedule
  2. Set the Next Scheduled PM
  3. Estimate Hours And Set A Target Due Date
  4. Repeat Until
    Determine how far into the future the PM schedule will continue to create preventive maintenance work orders.
  5. Supersedes
    Determine if this preventive maintenance schedule will supersede another preventive maintenance schedule.
  6. Frequency Section
    Determine the frequency of preventive maintenance work order creation.
  7. Type & Restrictions
    Determine how to handle preventive maintenance work order creation if the previous work order created by this schedule has not yet been completed.
  8. Regenerate Dates
    View the list of dates that PM work orders that will occur in the future.

Things You Can Do on PM Schedule Assets Tab

You use the Assets screen to attach one or more assets to a PM schedule. Subsequently, work orders created from the PM schedule will include the asset or assets.

  1. Create a New PM Schedule
  2. Add an Asset to a PM Schedule
  3. Click any Asset in the list to view the Overview tab of the Asset Detail view—in the Assets module.

Things You Can Do on PM Schedule Procedure Tab

You use the procedure screen to add, view, and edit tasks, duties, and responsibilities to the PM Schedule. Subsequently, PM work orders created from the PM schedule will include these procedures.

Things You Can Do on PM Schedule Labor and Parts Tab

You use the Labor and Parts screen to add, view, and edit time and materials for PM Schedules. In this use case scenario, you are adding, viewing, and editing time and materials to be pre-loaded into work orders created by the PM Schedule. In other words, these are estimates of time and materials that will be required to complete work on the PM work order created by this PM Schedule.

  1. Create a New PM Schedule
  2. PM Schedule Labor Add, view, and edit the field engineer who will complete the work on the scheduled PM Work Orders.
  3. PM Schedule Parts Add, view and edit parts needed to complete scheduled PM Work Orders.
  4. Specify billing options to be added to work orders created by the PM Schedule.

Things You Can Do on PM Schedule Notes & Log Tab

You use the Notes & Log tab to record any important notes for Preventive Maintenance Work Orders created by the Preventive Maintenance Schedule.

  • Every PM Work Order created by this PM Schedule will include this information.
  • The field engineer will be able to view this information.
  • The work order admin can manually change this data if necessary—on this PM Schedule or the resulting PM Work Orders.

The PM Log portal displays all the times in the past when the PM Schedule created a PM Work Order.

PM Schedule Work Orders Tab

The Work Orders tab displays the list of PM Work Orders created by the PM Schedule including the created date, the started date and the completed date. You can click on any record in the Work Orders portal to view that work order in the Work Orders module.
